Microsoft CRM Timesheets and Billing Export to Generic Accounting System

There is no need to reinvent the bicycle, in Microsoft Dynamics CRM you already have Time and Billing for your CRM users out of the box. If you create Contract for your Customer (Account in CRM), then create at least one Contract Line with Budget (it is there in minutes, however you can recalculate budget in hours in Excel or in simple calculator)

Then you Invoice Contract in Actions on the Contract level and now your contract is prepared for getting billable time logged against it.  On the Contract Line level you create new Case (consider the Case to be sort of Work Order),Microsoft CRM Timesheets and Billing Export to Generic Accounting System  Articles assign or share it with Technician or Consultant (CRM User) who will be logging time against it.  Technician open Case, switches Activities tab and Create New Activity (simplest would be picking default Task type).  In the Task enter description, details, Due Date (this will be when work was performed), Duration and click on Save as Completed.  Task is now posted against the Case and when the manager closes the Case - she/he will see the number of Hours (posted from the Tasks in our situation) to accept (or Increase/Decrease).  Let's review this scenario in the following paragraphs:
1. Is it perfect "as is"?  You may say - probably not and this is why.  I cannot expect my technicians to come through various MS CRM Screens just to get to the point of specific Work Order related time logging window.  I'd rather have them to see Timesheet screen open when they open Microsoft Dynamics CRM.  Your arguments are very strong and we decided to do just what you suggested
2. Simple MS CRM Add-On opens the grid of Tasks with Associated Contract Lines, Contracts and Customers, belonging or shared with your CRM User ID.  And at this point you as Consultant or Technician just enter new Tasks or edit existing ones.  When you are done, your manager sees these tasks on the same screen with additional options to Approve (Complete Tasks) and Export (to CSV text file)
3. Importing Timesheets into Accounting System .  Each mid-market or small business Accounting application has Integration or transactions import functionality.  In the case of Microsoft Dynamics GP (formerly Great Plains Dynamics) it is Integration Manager module, in the case of SAP Business One it is Data Transfer Workbench.  This is why the decision was made to keep export file to be simple text and let you import into your respected Accounting system
