When you are expanding internationally accounting application platform selection is not an easy thing to do.  At this time of spring 2012 Brazilian economy is one of the fastest growing ones.  However it doesn’t mean that every brand name accounting software is localized there.  Let’s make some comments on what ERP localization means and then review how it is realized in SAP B1 in Sao Paulo and across Brazil.  This publication is intended as highlights for IT directors in multinational corporation opening office in Rio de Janeiro,SAP Business One SPED or implementing ERP application localized in Brazil Articles Campinas and other Brazilian regions.  Let’s begin with SPED or in English translation it is Public Digital Bookkeeping System:

1. SPED is required since January 1st 2008 for all corporate businesses in Brazil.  We assume that multinational company typically opens its subsidiary as corporation.  Now think about the idea to make all your records open via internet to CPA folks and other people involved in tax advice and control areas.  If this is the case then there is no room for gray cashing schemes and other gray money manipulations.  Is it easy to realize?  Well it should be hosted on the IRS server where all the corporations file their AR, AP and General Ledger reports.  How GL is standardized?  Answer is natural – via standard GL chart of accounts

2. In ERP system selection how critical is SPED?  Well we are present on Brazilian ERP consulting market since 2004 and we tried promoting various accounting platforms including Great Plains and Axapta.  SPED is not an easy thing to implement and it is a requirement

3. How SPED is realized in Sap B1?  It is ISV channel supported add-on.  The software licenses cost is comparable to several professional named users.  However in Brazil SAP BO is recommended not only to small businesses but to mid-market and companies with up to two hundred named users in accounting, AR, AP, Sales, Service and production departments

4. Retaining control.  This is very important question in our opinion.  SPED is of course critical but at the same time you should be able to retain control in the sense of IT and financial reporting and internal audit from your headquarters here in the United States or wherever your central office is located.  We recommend you the architecture where SAP B1 database and application server are installed on central computer (Microsoft Windows and SQL Server) and it is exposed to Brazilian users via Citrix or Microsoft Terminal Server technologies

5. Internal audit or how does it work?  Internal auditors should have access to Accounts Payable, Accounts Receivable and General Ledger document of your international subsidiary.  In SAP Business One all you need to do is switch user interface from Portuguese to US English.  You can associate default language with named user license or switch it directly in Settings.  It is good idea to have GL chart of accounts standardized across all the subsidiaries.  By doing so you make consolidated financial reporting (Balance Sheet, P&L, Statement of Cash Flow) transparent
