Machinery Moving and Office Relocation

Office furniture, supplies, equipment and machinery moving are all part of the process when a company sets up shop in a new location. When a business relocates, it's much more complicated than when a family moves from one residence to another. With a single-family move, there will be belongings to transport and a new household to set up. There will be some settling in, new neighbors to meet, doctors, dentists and hairdressers to locate but there are no customers involved. It may be challenging for the family members trying to adjust to their new residence but they will not have the added responsibility of trying to keep a business running. In order to run a company, not only must all furnishings and tools of the trade be packed up and transported, orders still need to be filled, phones still need to be answered, and the product or service must still be produced or performed as soon as possible. Every business that must relocate has to cease operations for a few days, but the fewer the better. When the doors are closed, income is not produced and customers may go elsewhere. It is imperative that a store or company relocates as quickly and smoothly as possible.

Timeline

A company should plan an initial timeline. In the early stages, inventory must be taken, moving companies must be interviewed and employees must be notified. It's helpful to have one employee be appointed as the "go to" person to organize everything. It is best if this person is relieved of other duties so he or she does not get too stressed out.

Interviewing a Moving Company

It is helpful to get three quotes in order to compare companies. Word-of-mouth references should be obtained and the manager should interview movers from that list. When large items need to be moved such as tractors, cranes, farm equipment, computer systems, Xerox copiers, and/or office furniture, this will require a company specializing in machinery moving or something similar. Some companies are equipped for transporting large pieces of equipment while others are not. It takes a certain type of truck, trailer, and know-how for machinery moving.

Packing

In order to keep everything in good condition and well organized, offices should be tagged and sorted by the workers themselves to a degree. Some files and paperwork may be carted over separately so the clerical or office staff can find it all right away. Phone systems must be at the ready ASAP so this set up process may need to be carried out as a separate task than the overall relocation.

Employee Morale

Relocating is a challenge and employees may feel a bit overwhelmed. It's helpful to keep their morale up by praising their efforts, giving them some extra time off during the holidays or taking them all out for pizza.
