Typically consulting firms are not inclined to pick orphan customers with outdated releases. Plus SAP itself supports only couple of recent versions meaning that tech support should be received through consulting organization. Well, you may say - is it the end of the story for our accounting application? How do we locate consultants?

Let’s review the options.  In ideal situation you should have annual support contract.  If you have active contract then you can upgrade to current version 8.82 as we are writing this paper in April of 2012.  But if you are reading these lines chances are high that your contract lapsed and you do not have easy option to get registration keys.  We will try to organize this paper in the form of FAQ: questions and answers.  We do not pretend to be technical here and if you need details please read manuals:

Q.  We do not have annual contract and our release is 2005A.  How do we update it to 8.82?A.  Well first of all you have to get reenrolled.  This process is often associated with settlement and paying penalty for lapsing.  You need to contact your reseller and have them broke on your behalf

Q.  Our old licensing server is about to be retired.  We would like to move it to new Windows hardware and we are on 2005A without active annual enhancementA.  Registration key is coded on server motherboard MAC number.  It might be problematic to issue new key as you do not have active account with SAP

Q.  We would like to customize the system for integration purpose with external database.  It seems like the tool of choice is Software Development Kit 2007A.  Is it something where you can help us?A.  Definitely.  However we strongly recommend you to update to recent release as technology obsolescence might play against you.  Custom software development is a surgery and it is better to be up to date.  If your modification is tiny in its scope – then it is probably OK as is

Q.  We have to scale down our accounting data entry and switch to QuickBooks or Sage Peach Tree.  It seems that data migration is required.  Could you help in exporting documents from B1?A.  Yes and you can try to export in-house.  Table structure is described in SDK.  Alternatively you can review field names by switching on View System Information in menu

Q.  Our implementation was screwed up by local VAR.  We are looking for second opinionA.  Implementation failure is often associated with customization,SAP Business One versions 2005A and 2007A Upgrade, Support and Recovery Notes Articles integration and complex Crystal reporting.  Your original reseller might be CPA oriented firm with limited exposure to SAP B1 technology layers.  Second observation is about local versus remote supports.  Consulting firms with software development expertise are often orienting to nationwide market.  Be sure that you are ready to accept remote support via web sessions and phone conferences

Q.  Our Project Profitability Crystal Report which was designed by our original consultant produces annoying rows duplicates and we do not trust the summaries.  This project is in limbo stage for about a year now.  Where is the way out of crisis?A.  It seems like your designer is in her or his learning curve.  Crystal has wizard where you can build report without deep technical exposure.  However in the case of SAP BO we would rather recommend to build data pulling logic in SQL Stored Procedure or View.  CR is perfect tool in report design.  However data export should be rather done in SQL itself.  Business One is hosted in MS SQL Server and Management Studio is in your disposition to design and test the query

Q.  We need to update our price list with inventory items replacements every year.  Our provider recommended us to purchase iBolt for data integration.  It seems like expensive add-on and we do not have IT people to be trained and certified.  Do you have any points here to recommend?A.  We would like to recommend revisit Data Transfer Workbench.  The majority of scenarios are associated with exporting data in the form of text file and then importing it in CSV template format (manipulation could be done in Excel).  The problem might be associated with the fact that certified consultants often consider DTW as initial data conversion tool only
