When was the last time you walked into a building and signed a register with your name,Visitor Management Systems: A New Era Towards Automation Of Visitor Management Articles city, vehicle number, purpose of visit and walk in time and feel cool about it?? Not really right!! Well here is some good news. Now doing this all would not feel a burden or an irritation but actually something innovative and fun!

The new Visitor Management Systems in the market now that have already marked their existence on major corporate houses and similar organizations are trendy latest tools that have taken over the old school registers and given a fresh change to the way visitor details are recorded. The self- help kiosks installed have made most of the things hassle free and are easy to operate and maintain. While the back-end data is managed and can be controlled by an assigned administrator, it has reduced the workload of security personnel drastically and they can be more focused on keeping a vigilant eye on the activities around.

These Visitor Management Systems record every visitor’s details entering the premises. These details are to be fed into the system by the visitor themselves. Which details are to be needed have already been pre- selected by the administrator and accordingly a form appears before the visitor in which the required details are to be typed. After the details are recorded, the system generates a unique ID for every visitor kiosk and also simultaneously a visitor badge is printed for the visitor. These badges can be assigned of different types depending on the types of visit that the visitor undertakes, for e.g. there are employees who are regular visitors to the office building, for them it could be a weekly or a monthly renewable badge which can be used to punch in time and out time. Whereas for people such as interview candidates, vendors, marketing executives and representatives from other companies, there can be one time badges with their unique IDs and other details printed on it.

One of the important features of these systems is data retrieval. The entire visitor database, rather than being stored on the back end is directly synced on the cloud storage and hence can be easily retained from any place across the globe. Also having even one fragment of a data can help access the entire data of a particular visitor and can be extremely helpful in case of security breach or in case of suspect or doubt. These features score an extra point over the existent utility tools such as the CCTV cameras and the like and have become a USP of the Visitor Management Systems and are one of the major reasons that these systems are becoming increasingly popular with organizations that record a huge footfall day in and day out.
